IP Paralegal

Job Overview

 

The intellectual property (IP) Paralegal supports the IP Team by handling various patents, industrial designs, trademarks, copyrights, and general IP prosecution matters including application appeals, oppositions, and invalidations. A person in this role will conduct IP administrative work, provide status reports to the IP Director, IP Managers, and IP staff, track progress, and communicate with internal and external stakeholders on a daily basis.

 

Main Responsibilities

 

  • Provide administrative and other support to the Global IP Team
  • Organize and maintain electronic and hard copy files
  • Maintain intellectual property files and database
  • Docket and file IP applications in Europe
  • Docket and manage due dates for Office actions
  • Docket and manage foreign filings and work with foreign associates to coordinate filings
  • Organize and keep track of intellectual property matters
  • Assist IP Director, IP Managers to organize and prepare IP review meetings
  • Draft outgoing correspondence; prepare corporate records, statements, POAs, etc.
  • Track status of IP matters and deadlines
  • Assist with legalization and authentication of legal documents
  • Initiate and manage invoice approval process according to the internal policy
  • Update and maintain a record of all payments carried out
  • Entering costs of all invoices on IP Management System (IPMS)
  • File and scan documents
  • Handling incoming postal mail and calls
  • Perform other administrative office tasks as assigned

 

Skills and Qualification

 

  • At least 2 years working with IP prosecution
  • Strong attention to detail and experience managing an extensive IP prosecution docket
  • An exceptional client service focus
  • An ability to work independently and to prioritize and multi-task to complete projects effectively and efficiently
  • Outstanding communication (oral & written) and organization skills
  • Having the experience and flexibility to work on a broad variety of IP and legal matters
  • Sound MS Office skills (Word, Excel, Outlook and PowerPoint)
  • A degree in Applied Law or a CAS paralegal
  • Excellent verbal and written communication skills in English and German
