【Job Overview】
The primary focus lies on the support of the department on organizational tasks and project support tasks related to process improvement, CI trainings, and 6S implementation/sustenance. During the day-to-day business operation, the Specialist will take initiative to handle office management and act as an administrative interface to the broader company organization.
The Specialist assists the management in administrative activities of the overall organization so that administrative staff, equipment, supplies, and other resources are used effectively and economically.
【Main Responsibilities】
Administrative Support:
- Order and maintain office supplies and equipment for the department.
- Establish department administrative process SOP.
- Assist with departmental expense reporting, including tracking expenses and preparing expense reports.
- Handling with departmental purchase requests.
Team Coordination:
- Organize and coordinate team activities, preparation of the report and slide for regular department meetings, monthly updates with high-level management, quarterly/annual achievement reports, newcomer training, CI promotion, and team-building events.
- Facilitate and host the monthly Kaizen presentation to cooperate with related departments/owners, and evaluate the benefit of completed Kaizen with Finance analyst.
- Admin support on the training facilitation of Lean 5 principles (internal) and Lean Six Sigma (external).
Communication:
- Liaise with other departments to facilitate communication and ensure smooth operations.
- Manage and update the CI department website and promote departmental activities, achievements, and events online.
ThinkLean System:
- Maintain and enhance the CI database, ThinkLean, to manage all the ongoing and historical CI initiatives in the organization, including database workflow improvement.
- Review & filtering of submitted ideas & project status tracking
- As an SME on system operations, perform related training/ workshop arrangements and cooperation with IT and HR to maintain system running smoothly.
- Exporting data and convert to report or presentation material when needed.
【Qualifications】
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Language Skills: Fluent in English and Mandarin.
- A TOEIC score of 700 or above is required.
- 3-5 years relevant working experience
- Knowledge/ know-how of Lean tool
- Lean Six Sigma Green Belt certified is preferred
- Familiar with SAP Concur and BPM
- Training and workshop facilitation
- Play the coordinator role in the team
- Proactive and critical thinker
- Basic IT/ HTML knowledge is required
